There are two types of inventories. One that is available only to secretaries and brokers, the other that is available to an agent.
Office Inventory
Only the broker and office secretaries can access the Broker Reports and the Office Inventory. The office inventory is available from the Office button on the main menu. The search types include the office listing inventory, as well as, inventories broken down by listing office or co-broker. You can also control the sort of the inventory report by clicking on the blue column headers on the displayed report. The following searches illustrate many common inventory needs.
Active Listing Inventory:
From the main menu, click the Office button. Click Office Inventory. Select All Listings/Office InventorySelect Market Code Active. Click the view folder tab to display the list. Select Inv by MC, PT, AR, LP report. The report name indicates the default sort of the inventory; Market code, Property type, Area, and List Price.
Active Listing Inventory sorted by Address:
Complete the Active Listing Inventory and display it. Click the blue AD header to sort the report in alphabetical order by street name. This report is commonly given to the person answering the phone.
Active and Off Market Listing Inventory:
To select both Active and Off Market, select one then Ctrl + Click the second choice for your office inventory in all of MLS. Since the Off Market listings remain in the system for a minimum of two years you may wish to run the Active inventory first and then run the off-market inventory so you can control the time period of the off market listings. Use the off market date parameter for inventories of listings in the off market statuses of U - Under contract, LP - Lease Purchase, X - Expired, or W - Withdrawn. Use the close date parameter for inventories of listings in sold status. Enter dates mm/dd/yy. You can use (-) for a time period before and including the date, (+) for a time after and including the date or use (-) to set a range of dates.
Projected Close Date (PCD)
If a listing is under contract and the proposed close date has passed, the listing agent, the secretary, and broker get the PCD message when they sign on to MLS to remind them that the listing needs attention. You can monitor the office inventory to be aware of listings that are scheduled to close.

You can use (-) for a time period before and including the date, (+) for a time after and including the date or use (-) to set a range of dates. Click the view folder tab to display the list.
Agent Inventory
Only the agent can run the Agent Inventory function located on the search sub menu. The secretary or broker can run an agent inventory from the office inventory function by designating the listing agent's ID. From the main menu, click Office button Click Office Inventory Select All Listings/Office Inventory Select Market Code ActiveClick the Add criteria button Click SF fields Click Listing Agent IDEnter the Listing Agent's ID. Click the view folder tab to display the list.
Sales
To determine sales activity during a set time period, you must run more than one report. The first report will reflect the sales activity of your office's listings. Click the Office button Click Office InventorySelect All Listings/Office InventorySelect Market code off market Click the add criteria buttonClick statusEnter S Go back to the list of fields and select Closing DateEnter a close date range mm/dd/yy-mm/dd/yy or use a date with the (+) symbol, mm/dd/yy+. Click the view folder tab to display the list.
To determine activity of listings sold by your agents and listed by a co-broker, click the Office button Click Office InventorySelect Co-Broker Listed/In-House SoldDo not enter an off market date. Click the add criteria button Select Closing DateEnter a close date range mm/dd/yy-mm/dd/yy or use a date with the (+) symbol, i.e. mm/dd/yy+. Click the view folder tab to display the list.
Expiration Dates
To monitor listings that are currently on the market and about to expire, click Office button Click Office Inventory Select All Listings/Office Inventory Select Market Code Active Enter a range of dates (mm/dd/yy-mm/dd/yy) in the Expire Date frame. Click the view folder tab to display the list.
To monitor listings in under contract or lease purchase status with expiration dates approaching, click Office button Click Office Inventory Select All Listings/Office Inventory Select Market Code Off Market Enter a range of dates in the Expire Date frame Click the Add criteria button Click SF fields Click Status Click the binocular symbol to get a choice list of statuses Select under contract and lease purchase.
